BIMM becomes first UK university to streamline documents with Docfield
A new approach to student agreements
We’re pleased to share that BIMM University has chosen Docfield to help modernise and streamline its document workflows. As one of the leading creative education institutions in the UK and Europe, BIMM will use Docfield to automate the creation and management of student-facing documents, starting with offer letters and terms and conditions used during the admissions process. These two use cases are among the most operationally intensive and legally sensitive documents in the student lifecycle. They need to be accurate, fast to produce, and easy to track especially across multiple campuses, changing templates, and varied approval lines.
From fragmented processes to structured automation
Previously, creating these documents involved manual editing, disconnected tools, and email-based approvals. By integrating Docfield directly with Salesforce, BIMM is moving to a more consistent, controlled, and scalable process. Document generation will now happen in real time, based on live CRM data, reducing errors and delays while improving the overall experience for staff and students alike.
What's changing
BIMM’s team now gains access to a centralised environment to manage the full document lifecycle; from draft to signature to renewal. With smart templates, version control, and automated notifications, departments can collaborate more effectively and reduce the risk of inconsistencies or missed updates.
- Manual editing is replaced with automated templates
- Email-based approvals move into a central collaboration environment
- Document generation is fully connected to existing systems like Salesforce
This means faster turnaround times, fewer errors, and more time saved across teams.
“Improving admissions means being more responsive and student-friendly, while giving our teams tools to save valuable time on repetitive admin. That’s time they can reinvest in what really matters.”
— Hamish Horton, Interim Director of Admissions, BIMM University
Looking beyond the first use cases
In future phases, BIMM plans to expand its use of Docfield to include internal policy documents and academic templates. The goal is to create a shared workspace that supports the university’s compliance, communication, and publishing needs across departments.
“As part of a wider digital transformation, integrating Docfield into our Salesforce environment gives us the speed and built-in compliance we need across our high-volume documents.”
— Majad Hussain, Salesforce Project Manager, BIMM University
“We’re incredibly proud to welcome BIMM as our first UK university partner. They’re true innovators, not just in creative education, but also in how they approach operations and student experience. ”
— Tim Stuart, Founder and CEO, Docfield
What this means for UK universities
For institutions across the UK, this collaboration reflects a broader shift: education providers are beginning to rethink how their most important documents are created, approved, and maintained. The focus is moving beyond digital storage toward full lifecycle management with benefits that ripple across compliance, student experience, and operational efficiency. This approach improves collaboration, reduces risk, and frees up time for higher-impact work.
