Hardware Policy

This Company Hardware Agreement (“Agreement”) is made effective as of agreement_date, by and between:

Company:

company_name, with its principal place of business at company_address, registered under number company_registration_number, hereinafter referred to as “Company”;

and

User:

user_full_name, [or Company: user_company_name], with its principal place of business at user_address (if applicable), hereinafter referred to as “User”;

Collectively referred to as the “Parties.”

1. Use of Company Hardware

1.1 Ownership

All hardware provided by the Company to the User—including, but not limited to, laptops, chargers, and any associated peripherals—remains the sole property of the Company.

1.2 Permitted Use

The User agrees to use the provided hardware exclusively for business-related purposes and in strict compliance with the Company’s policies and guidelines, as may be updated from time to time.

1.3 Prohibited Actions

The User shall not misuse, abuse, or damage the Company hardware. This includes, without limitation, unauthorized modifications, installation of unauthorized software, or any actions that may compromise the hardware’s functionality or security.

2. Return of Company Hardware

2.1 Return Obligation

Upon termination of the User’s relationship with the Company or upon request by the Company, the User agrees to return all Company hardware in a condition reflecting fair use, free from any damage beyond normal wear and tear.

2.2 Return Process

The User shall return all provided hardware—including all accessories and peripherals—to the Company’s designated representative on or before the agreed return date.

2.3 Non-Return or Damage

Should the User fail to return the hardware in a fair-use condition, as determined solely by the Company, the Company reserves the right to deduct the new-value equivalent of the damaged or unreturned items from any final payment due or seek additional compensation.

3. User Obligations

3.1 Care and Maintenance

The User agrees to take reasonable care of the Company hardware during its use and to adhere to any maintenance or operational guidelines provided by the Company.

3.2 Reporting Issues

The User shall promptly report any loss, damage, or malfunction of the Company hardware to the designated contact within the Company.

4. Compliance with Applicable Law

4.1 Legal Compliance

This Agreement is designed to comply with all applicable laws and regulations, including those governing the use and return of company property.

5. Governing Law

5.1 Applicable Law

This Agreement shall be governed by and construed in accordance with the laws of the Netherlands.

6. Entire Agreement

6.1 Entire Agreement

This Agreement constitutes the entire agreement between the Parties concerning the use and return of Company hardware and supersedes all prior agreements, understandings, or representations—whether oral or written—regarding the subject matter hereof.
